Behind the Scenes at Spillman’s Users’ Conference
The Spillman staff has returned from the biggest Users’ Conference yet, with over 600 people from 285 public safety agencies in attendance. The conference is a labor of love, with a lot of thought going into developing useful classes and making sure everyone has the opportunity to connect with Spillman personnel and users from other agencies. We also try to help everyone have a little fun while they’re here!
As you can imagine, creating a four-day conference that achieves those goals is no easy task. Here is a behind-the-scenes glimpse at the final touches that go into pulling off a successful show.
Work on Users’ Conference is a year-round project. Venues and speakers are finalized nearly a year before the event, and employees work on preparing classes, printing materials, and finalizing presentations for months before the big day. The week before the conference begins, we pack up all of the items we’ve been preparing — flyers, presentation materials, name badges, props, decorations, signs, company store products, computer equipment, prizes, candy, and giveaways — into one big truck and deliver it to the Salt Palace Convention Center in downtown Salt Lake City.
Once at the Salt Palace, Spillman’s marketing, IT, and corporate services folks unpack the truck, arrange everything where it is needed, set up the classrooms, and make sure everything is ready to go.
Sometimes after hours of setting up, we get a little creative. In this photo, two Spillman conference hosts have invented a new way to transport heavy signs using an electric scooter giving their feet a much-needed break.
There is a lot that needs to be arranged, and organized to ensure that the registration process goes smoothly. One example is the 600 registration bags that were filled with conference information and handed out to each guest.
In Club Spillman, attendees are invited to sit and relax, mingle with other agencies, grab a drink or snack, and connect with Spillman representatives. Employees from every Spillman department pitch in to help answer customer questions, staff the company store, and take customer enhancement suggestions.
All of the effort that goes into Users’ Conference really pays off when we see attendees learning more about their Spillman systems and enjoying all of the other events and activities the conference has to offer.
After all of that hard work, it’s time for some fun. For the evening event, Lonestar played for Users’ Conference attendees at an exclusive concert at the Deer Valley resort in Park City, Utah. Outdoor seats were set up and a picnic dinner was planned.
A week before the event, Spillman employees noticed the forecast for Park City for the evening of the concert called for thunderstorms and cool temperatures. Not to let a little bad weather spoil what was to be an amazing concert, Spillman’s event management team purchased 500 waterproof ponchos in the days before the event in hopes of keeping attendees warm and dry. Much to everyone’s surprise, however, when it started to rain, Lonestar actually invited the crowd to take cover alongside them on stage.
Even though it stopped raining a few minutes later, the band continued to play hits like “I’m Amazed” and new singles while taking photos and hanging out with fans on stage until the concert ended. Talk about up close and personal! It was an amazing opportunity, and we’d like to thank Lonestar for going above and beyond to make sure the crowd had an enjoyable evening. Our event management team is already getting bombarded with questions like, “How are you going to top that next year?” We think this evening event may go down in history as unbeatable, but we’ll see what we can do!
